1. Who is responsible?

This privacy statement concerns Place Réservée Trade, the ordering platform for professional customers and agents of:

SUNSET BV is the controller of the personal data processed in this app, in accordance with the General Data Protection Regulation (GDPR).

2. Which data do we process and why?

  • Login data: name, e-mail address, language, role, the company you order for, and your password (stored only in encrypted form; we cannot read it). Needed to give you access to the app.
  • Data of your company and contact persons: name, address, VAT number, e-mail address, telephone number, delivery addresses. Needed to process, deliver and invoice orders.
  • Orders, invoices and payments. Needed to perform the contract and to meet our accounting and tax obligations.
  • Technical data: IP address and time when logging in and for important actions in the app (for example confirming an order or creating a login). Needed for the security of the app and to detect misuse.
  • Acceptance of the B2B terms: which version, when and from which IP address. Needed as proof of the contract.

We process these data on the basis of the contract with your company, our legal obligations and our legitimate interest in a secure and well-functioning app. We do not use your data for third-party advertising and never sell them.

3. How long do we keep your data?

  • Login attempts: 30 days.
  • Activity log (who did what, with IP address): 24 months.
  • Links to activate an account or reset a password: until they are used or expire.
  • Your login: as long as your company is a customer and the login is used; after that, the login is blocked or deleted.
  • Orders, invoices and customer data: as long as required by the statutory retention periods for accounting and tax.

4. With whom do we share data?

Only with parties that help us run the app and the orders, and only for that purpose:

  • our business software (ERP) Odoo, in which customers, orders and invoices are stored;
  • the hosting provider of the app and the e-mail service that sends the app's messages;
  • carriers, for delivery (name, delivery address and telephone number);
  • the European VIES service, to check a VAT number for a new customer;
  • the Place Réservée agent who looks after your company.

The necessary agreements to protect your data have been made with these parties. We also pass on data when the law requires it.

5. Cookies

The app only uses a necessary session cookie: to keep you logged in, remember your language choice and secure forms. There are no cookies for statistics, advertising or social media. The session cookie disappears when you log out or close the browser.

6. Security

We take appropriate technical and organisational measures to protect your data, such as an encrypted connection (https), passwords stored in encrypted form, a temporary block after too many failed login attempts and access to customer data only for those who need it.

7. Your rights

You have the right to access your data, to have them corrected or erased, to restrict their processing, to object and to data portability, within the limits of the GDPR. You change your language and password yourself via "My account". For other questions or to exercise your rights, e-mail info@placereservee.com; we reply within one month.

If you disagree with the way we process your data, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (www.dataprotectionauthority.be).

8. Changes

We may change this privacy statement. The most recent version is always available in the app, with its version number and date.
